When can you go on exchange during your studies?

You can go on an exchange for one semester or, preferably, one academic year in your 3rd bachelor's year and/or your 1st master's year and/or your 2nd master's year.

Conditions to go on exchange

Bachelor

You need to:

  • have passed your courses of bachelor's year 1 and bachelor's year 2
Master

You need to:

  • have passed all courses of your bachelor programme or, if you are going on an exchange in your second year of a Master's programme, you must have passed all courses of your first year of the Master's programme

You can submit a nomination file unless you have failed more than 2 subjects after the January exam period. Please note: in this case, you can only receive final approval to leave for exchange after the second exam period in August/September.

How to apply for an exchange?

Nomination EU destination
  1. Select 3 EU destinations from the list below
  2. Complete your nomination dossier.
  3. Send your application to mobility.es@vub.be
  4. Deadline is February 15th
 
Nomination non-EU destination
  1. Select your top destination from this website
  2. Complete your nomination dossier. 
  3. Send your application to mobility.es@vub.be
  4. Deadline is December 15th
  5. Follow the procedure above (nomination EU destination) for your back-up destinations

All applications will be ranked according to the results of the January 2025 exam session. This will only come into play when more students apply for the same destination than the number of places that is available. 

Keep in mind that being nominated to go on an exchange does not automatically mean that you are allowed to go on an exchange. All of the requirements mentioned above should be met before you are allowed to leave.

Learning agreement

 After you have been nominated to go on an exchange it is time to prepare your Learning Agreement (LA). In your Learning Agreement you indicate the courses you will take at your host institution and match them with the VUB courses you are replacing. You will find all information in the template below. The approved version must be sent to mobility.es@vub.be as a PDF.

For non-EU destinations, your host university might use a different credit system. You will find a table with credit conversion for non-EU destination here.

During and after your exchange

Credits, grades and grade conversion can vary across exchange destinations. Some destinations may have a different grading scale or credit system, whereas others are similar to VUB's grading system. In this document you can find more information on how your grades at the host universities will be translated to VUB grades. 

Destinations

Erasmus+ traineeship after graduation

In your last year of study you also have the option to apply for a traineeship after graduation. If you are interested in this type of exchange, there are a few things you need to take in account:

  1. You yourself are responsible for finding a traineeship and the traineeship needs to be in line with your current field of study
  2. You'll need to register the traineeship before the official date of graduation
  3. The deadline express your interest in a traineeship after graduation to the faculty (mobility.es@vub.be) is February 15th
